Privacy Notice - Corporate Feedback Policy

How we will use the information about you

We will store your information securely and only use it to process and consider your feedback. We may share details of the matter with management or include this in reports to help with improvements and to monitor our level of service. When we share this, the information will be anonymised and will not include your personal details.

We will share the information with the service area(s) most relevant to your feedback.  Where your enquiry relates to a service that we are legally obliged to provide as a public task and that is carried out by a contractor on our behalf, we will also need to share your information with them.  If we need to share your details with any additional third party in order to provide you with a response, we will contact you to obtain your consent beforehand.

We will keep your personal information contained in complaint files for up to six years from the date your enquiry was closed or up to ten years in relation to ombudsman complaints. This information is stored securely with restricted authorised access.  Our contractors also maintain the same levels of information security which are set out in the contract we have with them.

Your personal information belongs to you and you have the right to:

  • be informed of how we will process it

  • request a copy of what we hold about you through the Rights of Access, Rectification and Erasure (RARE) process

  • have it amended if it is incorrect or incomplete

  • have it deleted (where we do not have a legal requirement to retain it)

  • withdraw your consent if you no longer wish us to process it

  • restrict how we process it

  • object to us using it for marketing or research purposes

  • object to us using it in relation to a legal task or in the exercise of an official authority

  • request that a person reviews an automated decision where it has had an adverse effect on you
